Privacy Policy

This policy explains what The HVAC Index, run by the operator of this site, does with the information you give us. It is written in plain language on purpose.

What we collect

  • Your answers to the questions in the chat or form.
  • Your name, phone number, email address and ZIP code, only when you confirm your request.
  • A record of your consent: the wording shown, the time, the page and your IP address and browser details.
  • How you reached us: the page you landed on and, if you came from an ad, the ad click identifiers in the link. These are kept in a first-party cookie for up to 30 days.

What we do with it

  • We pass the details you confirmed to one participating local installer so they can contact you.
  • We keep unfinished chats and forms so you can come back to them, and we keep confirmed requests and consent records for our business and legal records.
  • We send server-side conversion counts (an event name and, if present, an ad click identifier) to advertising platforms. We never send your answers, contact details or any sensitive information to them.

Some answers may be personal to you or your household. We use them only to complete your request and share them only in the details passed to the provider you are matched with. We do not use them for advertising.

Follow-up messages and the $50 reward

When you confirm a request there is a second, optional box asking if we may text or email you once or twice to ask how it went. It is unchecked by default, you can leave it unchecked and still use the site, and we record whether you checked it. If you do, we send those messages and nothing else; reply STOP to end them.

If you send us a signed proposal through our reward page, we collect the file you upload, your name and contact details and the installer named on it. We share the outcome (that you hired that installer, and the contract value if it is shown) with the installer only to confirm it, and we may use it to check what installers report to us. We use it to pay your reward and keep it for up to 24 months for our business and audit records, then delete it. You can ask us to delete it sooner (see below).

Who else sees it

Our AI chat provider processes the text you type in the chat to extract your answers. Our hosting and database providers store data on our behalf. The participating provider you are matched with receives the details you confirmed and handles them under its own privacy practices.

Your choices

  • Reply STOP to any text to stop texts.
  • Ask us to delete your information or withdraw your consent using the contact details of the operator named above. A provider that already received your request keeps its own copy under its own policy.
  • You can use the form instead of the AI chat at any time.

Cookies

We set one first-party cookie to remember how you reached us (described above). We do not use advertising or analytics cookies. See also how we work.
